The machine is the part of this purchase that is easiest to price and the smallest part of the cost. Steam, water treatment, drainage, ventilation, floor loading, commissioning, validation and a statutory inspection regime all arrive with it, and they are quoted by different people at different times. A comparison that stops at the machine is comparing the least variable number in the project.

Building the real number

  1. Machine, and what is bundled into it. Establish whether the quotation includes the trays, baskets, trolley, printer or data logger, the loading equipment and the first service. These are frequently separate lines and frequently assumed, and they are the usual reason two quotations that looked level are not.
  2. Services the building has to bring. Steam or an internal generator, treated water, a drain that will take the discharge, power, ventilation for the heat and a floor that will take the weight. Each is a line in someone else's budget and each has stopped an installation somewhere.
  3. Commissioning and validation. Installation, operation and performance qualification with your own load types is what turns a machine into a process. It is a real cost with a real timetable, it is often not in the equipment quotation, and in a regulated setting it is not optional.
  4. The statutory regime for a pressure vessel. A machine of any size is a pressure vessel with an inspection scheme, a competent person and a recurring examination. Ask what scheme applies, who writes it, what the examination costs and how often it falls due before the machine is chosen.
  5. Running cost over the life. Water, treatment, energy, the service contract and the consumables are the number that decides which machine is cheaper, and they differ far more between designs than the purchase price does. Ask for water and energy per cycle for the cycles you will actually run.

Used and refurbished machines

A used machine can be excellent value and it carries the same building requirements as a new one, plus a history. The questions that matter are the chamber's condition, the state of the door seal and gasket mechanism, whether the controller can still be supported, and whether the statutory examination records came with it.

A refurbished machine from a dealer who warrants it and can validate it on site is a different product from a machine sold as seen. The discount should reflect which one you are buying, and the validation cost should be in the comparison either way.

What to ask a supplier before comparing

Ask for the delivered, installed and commissioned price with your own load types named; the water and energy consumption per cycle; the service contract cost and what it covers; the expected life of the door seal and the generator; and who performs the statutory examination.

Ask also what happens when the controller becomes unsupported, since that is what usually ends a machine's life while the chamber is still sound. A supplier who has a clear answer is describing a machine they expect to keep running for twenty years.

Where a service contract earns its price

A machine that stops takes a laboratory's whole workflow with it, which makes response time the specification that matters most in a contract. A cheaper contract with a slower response is a false economy in any laboratory that sterilises daily.

Read what is included: planned maintenance, the door seal, the generator, the statutory examination and the validation visits are each sometimes in and sometimes out. Two contracts at similar prices often differ in exactly those items.

Why do two quotations differ so much?
Because they usually describe different scopes. One may include trays, trolley, commissioning and a first service while the other prices the machine alone. Ask for a delivered, installed and commissioned price against your own load types.
What does installation actually involve?
Steam or a generator, treated water, a drain rated for the discharge, power, ventilation for the heat and floor loading, followed by commissioning and qualification with your own loads. Those belong on a drawing before the machine is ordered.
Is a used machine worth considering?
