Telling them apart in practice
- The object at the centre. In a laboratory information system the central object is a sample with tests attached; in a notebook it is an experiment with observations attached. Ask which of those sentences describes what your laboratory does all day, and you have your answer in most cases.
- Repeatability against narrative. A system of record excels where the same method runs many times and results must be comparable, reviewed and released. A notebook excels where each experiment differs and the reasoning matters as much as the numbers. Neither does the other's job well however many modules are added.
- Who the output is for. A laboratory information system produces certificates, trends and released results for a customer or a regulator. A notebook produces a defensible record of what was done and why, for colleagues, patent attorneys and future you. Different audiences, different shapes.
- Structure against freedom. A system of record enforces structure, which is its value and its friction. A notebook permits freedom, which is its value and its weakness, since freely written records are harder to search and to aggregate. Templates in a notebook recover some structure without the rigidity.
- When you need both. Organisations that both develop methods and run them routinely genuinely need both, with an explicit boundary and a shared sample identity across it. That boundary has to be decided rather than discovered, or the two systems will hold contradictory versions of the same sample.
The overlap is real and it is a trap
Notebook products add sample inventories and system-of-record products add free text sections, and a buyer comparing feature grids will conclude either could do both. What the grid cannot show is which one will still feel right after two years of your particular work.
Test the candidates with your own worst case rather than a typical one: your most awkward workflow, your most complicated sample hierarchy, your longest experiment. The mismatch shows up there first.
Records obligations apply to both
Where data supports a regulated submission or product, the electronic records and signatures obligations follow the data rather than the product category, so a notebook holding that data carries them exactly as a system of record does.
For patent purposes the notebook's value is in a contemporaneous, attributable, unalterable record. Ask how the product timestamps and locks entries and whether a third party could rely on it.
