Laboratory equipment: how to buy it, and what laboratory equipment services, lab equipment services, laboratory equipment servicing and a laboratory equipment service contract should actually cover
Laboratory equipment is bought on a capital budget and lived with on a revenue one, and the gap between those two budgets is where most regret sits. Service, consumables, calibration, qualification and eventual disposal usually exceed the purchase price over an instrument's life, and none of them appear on the quotation. Evaluating the whole cost
- Ask for the consumables list before the quote. Many instruments are sold close to cost and earn their margin on proprietary consumables. Ask what must be bought from the manufacturer, what the current prices are, and whether third party alternatives void support, because that answer can reverse a purchase decision.
- Service contract or time and materials. A contract buys predictable cost and a response commitment; time and materials is cheaper when an instrument is reliable and not on a critical path. Decide from how much downtime actually costs you rather than from the discount offered.
- Response time is the specification that matters. Ask what response time means contractually, whether it is to a telephone call or to an engineer on site, what the parts availability commitment is, and whether a loan instrument is provided. A cheap contract with a slow response is not insurance.
- Installation, qualification and training. Confirm what installation includes, whether qualification documentation is provided for a regulated environment, and how much training comes with the instrument. Retrofitting qualification onto an installed instrument is far more expensive than buying it with the machine.
- End of support and disposal. Ask how long the manufacturer commits to parts and software support, because an instrument whose support ends is an instrument with a retirement date. For anything with refrigerant, radioactive sources or hazardous components, establish the disposal route before purchase.
New, refurbished and second hand
Refurbished equipment from a specialist that tests, replaces wear parts and warrants the instrument is frequently excellent value, particularly for robust mechanical equipment. Second hand equipment bought at auction with no history is a gamble that pays off in proportion to how well you can service it yourself.
The questions are the same either way: what was replaced, what warranty applies, whether the manufacturer will support it, and whether software and licences transfer. That last point stops more second hand purchases than mechanical condition does.
What the purchase obliges you to
Equipment arrives with duties attached: a chemical hygiene plan covering its use, training records, hazard labelling and a maintenance and calibration regime. Building those into the purchase rather than adding them afterwards is what keeps an instrument usable in an audit.
Record the instrument's identity, location, service history and calibration status somewhere durable. Labs that cannot answer when an instrument was last serviced usually cannot answer what it was used for either.
