Inventory software fails for one reason above all others: people stop updating it, and an inventory nobody trusts is worse than a shelf somebody looks at. Every evaluation question that matters therefore comes back to whether the system makes recording easier than not recording. What it has to track, and how
- Consumables, chemicals and reagents are different problems. Consumables need stock levels and reorder points. Chemicals need location, quantity, hazard information and regulatory status. Biological reagents need lot, expiry and storage conditions. A system strong at one and weak at the others will be worked around for the rest.
- Scanning at the point of use. Recording has to happen where the item is taken, on a device that is to hand, in seconds. Systems that require someone to return to a computer are systems whose data rots, and this single property predicts adoption better than any feature list.
- Expiry and reorder that reach a person. Alerts have to arrive where people already look rather than inside an application nobody opens. Ask how notifications are delivered and whether they can be routed to a shared channel or mailbox.
- Ordering and the finance boundary. Decide whether the system raises requisitions, holds catalogues and prices, and how it meets the organisation's purchasing system. Integration here saves real effort and is also where implementations stall, so establish what is actually possible early.
- Hazard and regulatory data. For chemicals, the system should hold or link safety data, flag controlled substances and support the reporting an inspector may ask for. Retrofitting that onto an inventory built only for stock levels is substantial work.
Start small and let it spread
Registering an entire laboratory at once is a project that stalls. Registering one store or one freezer properly, so the people using it find it genuinely faster, produces an inventory others ask to join. That is the pattern that works.
Decide honestly what happens with historic stock: fully registered, minimally registered or explicitly out of scope. A half-registered inventory that nobody can rely on is the worst of the three.
Where it meets the other systems
Inventory is not the system of record for results and is not sample management, though vendors in all three extend toward each other. Decide which system owns which question before buying, or you will hold two partial answers.
Where inventory data supports regulated work, the electronic records and signatures obligations apply to it as to any other system holding that data.
